Self-Service

What Is Self-Service?

The self-service function in tenfold allows users to request IT resources for themselves and for other users (e.g. team members). Such resources may include extra privileges which are not part of the role-based standard set. The self-service requires no technical knowledge at all. This means HR staff, for instance, can create new users or request IT assets or modify data very easily, without having to consult an IT admin. tenfold saves and thoroughly documents any changes and automatically triggers the required approval workflows to carry out these changes.

Advantages (CIOs, CISOs, IT Managers)

  • Privilege assigning processes delegated to applicable department

  • Workload reduction for helpdesk staff because users are able to carry out tasks autonomously

Advantages (IT Admins & Infrastructure)

  • End users can see precisely what resources are available for request

  • Documentation and processing (e.g. ticket system) no longer have to be done separately

Why Do We Need the Self-Service Function?

The self-service function significantly reduces the workload for IT departments because users can request resources directly, without having to go through helpdesk. As the ensuing workflows (request, approval process, provisioning) happen automatically, it takes less time between the request and the actual approval than it would if done manually. These automated approval workflows further ensure that only resources that are really needed are approved (principle of least privilege).

How Does Provisioning Work?

The self-service interface is not restricted to specific systems. Any resource can be provided as a self-service items: File server permissions, Exchange permissions, permissions for applications such as SAP or Dynamics NAV, etc. tenfold saves the modifications as requests and automatically forwards them to the respective data owner(s) for approval. Once approved, tenfold automatically sends the requests to the IT admin for implementation. The resources are then provisioned by the corresponding plugins.

Self-Service Password Reset

tenfold’s self-service portal allows users to reset their password without the need to contact IT. Employees or their supervisors can request a new password directly via the self-service interface. For the password reset, users are redirected to an external web platform where they will have to verify their identity by clearing one or more security checks (email PIN code, security questions, authenticator app, etc.). Depending on your settings, users can set a new password for the Active Directory as well as any number of integrated third-party systems. For auditing and documentation purposes, the password reset is logged through tenfold’s change tracking system.
